Privacy Policy
Last updated: November 2026
At Hylands Tennis Club, we take your privacy seriously. This Privacy Policy explains what information we collect through this website, why we collect it, and how it is used.
We have written this policy in plain English to make it as clear and easy to understand as possible.
This Privacy Policy may be updated from time to time to reflect changes to the website, legal requirements or the services we use. The latest version will always be published on this page.
What this policy covers
This policy covers this website, hylandstennis.co.uk, only.
How we handle personal information once you are a member, including membership records and court bookings, is set out in our Privacy Policy for Members and Registered Users, which you can also find on our Our Policies page.
Who we are
This website is run by Hylands Community Amateur Sports Club (Hylands Tennis Club), c/o Hornchurch High School, Broadstone Road, Hornchurch RM12 4AJ.
Information you provide
You can register interest in playing at Hylands through the form on our Join Now page. It asks for:
- The first and last name of the adult registering
- The player’s first and last name and date of birth
- The player’s gender
- A mobile number and email address
- Your reason for registering
As many of our players are children, a parent or guardian completes the form on their behalf.
Your registration is sent directly to our email inbox and is not stored within this website.
We use this information to respond to your registration, to arrange coaching, courses or membership, and to keep you informed about the club.
Our coaching is provided by Jack Woollcott Tennis Academy (JWTA). If you tick the consent box on the form, we share your registration details with JWTA so they can contact you about coaching and sessions.
We do not sell, rent or share your personal information for marketing purposes.
Donations
If you choose to make a donation through PayPal or Buy Me a Coffee, your payment is handled by that service, not by this website. We receive confirmation of your donation, which may include your name and email address. Please see their privacy policies for how they handle your information.
Website Analytics
This website uses Google Analytics 4 to help us understand how visitors use the site and to improve it.
Analytics information may include pages visited, time spent on the website, device type, browser type and approximate geographical location. This information is aggregated and is not used by us to identify individual visitors.
Analytics are only enabled if you choose to accept Statistics cookies through the Cookie Settings.
Cookies
This website uses cookies and similar technologies to make sure the website works correctly and, if you choose to allow them, to help improve the website through anonymous usage statistics.
Some features, such as the YouTube video on our About Us page and the map on our Contact page provided by OpenStreetMap, may also require cookies or similar technologies.
You can choose which optional cookies to accept using the Cookie Settings shown when you first visit the website. You can change your preferences at any time.
Spam protection
To help protect this website from spam and automated abuse, our forms are protected by hCaptcha.
When you submit a form, hCaptcha may collect technical information such as your IP address and browser details to check that the form is being sent by a person rather than an automated system. This information is used by hCaptcha solely for security and spam prevention.
Why we use your information
We use the information from our registration form because we have a legitimate interest in responding to your registration and arranging tennis for you or your child.
We only share your details with JWTA where you have given your consent on the form.
Website analytics are only used where you have given your consent through the Cookie Settings.
How long we keep information
We keep registrations only for as long as we need them to deal with your request. If you go on to become a member, your information is then handled as described in our Privacy Policy for Members and Registered Users.
